I propose the template for each year's website, from the start, in the top level items, should have "videos". When clicked, users would see

Check back here during the conference for live streaming, and three months after the conference, for the video links.

That's better than eventually posting a notice like on https://2024.stateofthemap.org/ . As before that's posted, users don't have any hint about if videos are final but private, etc.
